Counter-Offer Response Template

How do you answer a candidate who asks for more money — yes, part-way or no?

Reply to a candidate who has asked for more: improve the offer, meet them part-way or explain that your offer stands. Professional, warm wording in English or Arabic, with a reply-by date.

How the reply is written

Pick your answer and the template changes its middle paragraph: an improved offer confirms the new package and promises an updated letter; a part-way answer states the old and new figures and your reason; a firm answer restates the offer, gives your reason and lists anything non-salary you can add. Every version thanks the candidate, repeats that you want them on the team and sets a reply-by date, so the negotiation has an end point.

Should I accept a candidate's counter-offer?

Check three things first: whether the ask is within the pay band for the role, whether it would put the hire above people already doing the same job, and what it would cost to restart the search. If the ask is fair and fits the band, improving the offer quickly builds goodwill. If it breaks the band, meet them part-way with something that isn't base pay — an earlier salary review, a sign-on payment or extra leave — or hold firm and explain why.

How do I say no to a salary counter-offer without losing the candidate?

Thank them, say clearly that the offer is your best for this role, give one honest reason (for example the role's pay band) and repeat why you want them. Offer a call. Choose 'Our offer stands' in the template — it keeps the door open and sets a reply-by date so the decision doesn't drift.

Do I need a new offer letter if I improve the offer?

Yes. The email confirms the change, but send an updated offer letter with the new salary split (basic and each allowance) for the candidate to sign. In the UAE and Saudi Arabia the contract registered on MOHRE or documented on Qiwa must match the final figures.

Should I improve basic salary or allowances?

It depends on your pay policy, but know the effect: in the UAE, Qatar and Oman end-of-service gratuity follows basic salary only, so raising allowances costs less over time than raising basic. Can I send it in Arabic?
