What should an experience letter include?

Generate an experience letter in the format Gulf employers, embassies and licensing bodies expect, then send it to HR to issue on company letterhead.

This is the format to request, not the certificate itself. Send it to HR: your employer has to issue it on company letterhead, signed and stamped, for a bank, embassy or new employer to accept it.

What an experience letter must include

An experience letter follows a standard letterhead format: company name and details, date of issue, a reference number, the addressee (usually "To Whom It May Concern"), a title, the body, and a signature block for an authorised signatory with the company stamp. The body certifies your employment dates, job title and department, and can add a short description of your duties and a line confirming good standing.

Letterhead
Company paper showing the legal name, address, phone and trade licence or commercial registration number.
Reference number
HR's own tracking number for the letter. Employers and embassies sometimes use it to verify the letter with the company.
Service period
Your exact start and end dates. If you still work there, the letter says you have been employed since your start date.
Good standing
A line confirming there are no disciplinary issues. Some visa and licensing applications ask for it.
Attestation
Official stamps that confirm the letter is genuine, often needed when the letter is used in another country.

Who asks for an experience letter, and what they check

The same letter serves different readers. Make sure it covers what yours will look for.

Who asks for itWhyWhat they check most
New employerBackground or reference checkJob title and dates match your CV
Embassy or visa officeWork or residence visaLetterhead, signature, stamp and dates
Licensing body (health, engineering)Professional licenceExact dates and duties, often attested
Immigration abroadSkilled-worker visa pointsDuties, hours per week and dates

Requirements vary by country and authority. Check the specific checklist before you ask HR.

Why HR may still change the wording

  • This tool gives you the format to request. The employer must issue the document on letterhead, with an authorised signature and the company stamp.
  • Many companies have their own template and will adapt yours. The information matters more than the exact wording.
  • Some employers only confirm dates and job title as a matter of policy. If a licensing body needs your duties listed, tell HR up front.
  • Your dates and job title must match your contract and your CV. Don't adjust them: background checks compare all three.

Put the same proof on your CV

The dates, job title and responsibilities on your experience letter should match your CV exactly: recruiters and background checks compare them. See how to present them:

Frequently asked questions

What should an experience letter include?

+

Your full name as on your passport, your job title and department, your start and end dates, and the company's details on letterhead. Add a date of issue, a reference number, and the name, title, signature and stamp of an authorised signatory. Many letters also add a short line on duties and one confirming you left in good standing.

Is my employer obliged to give me an experience certificate in the UAE?

+

Yes. Under UAE labour law an employer must give an employee a service certificate free of charge when the contract ends. It states the start and end dates, the job title and the last wage. Use this tool to prepare the wording and send it to HR with your request.

Should an experience letter mention my salary?

+

Usually not. An experience letter is about your role and your dates, and most new employers and embassies don't need pay figures on it. If a bank, landlord or visa office asks what you earn, that is a different document, which HR issues separately.

What is the difference between an experience letter and a relieving letter?

+

An experience letter describes your employment: job title, dates and sometimes duties. A relieving letter confirms that your resignation was accepted and you have been released from your duties with nothing outstanding. Some employers, especially Indian companies, ask for both, and many Gulf HR teams combine them into one letter.

Does an experience letter need to be attested?

+

For many professional licences and some visa and residence applications, yes: an experience letter from abroad may need attestation by the relevant authorities and the embassy. Requirements vary by country and by licensing body, so check the specific authority's checklist before you start.

Can I write my own experience letter?

+

You can draft it, and many HR teams welcome a ready-made draft. But it only counts once your employer issues it: printed on company letterhead, signed by an authorised person and stamped. A letter you sign yourself will be rejected.
