Warning Letter Generator

How do I write a warning letter to an employee in the UAE or Saudi Arabia?

Write a first, second or final warning letter for lateness, absence, performance, conduct or a policy breach — factual, fair and in the format GCC HR teams use, in English, Arabic or both.

How the warning letter is put together

A good warning letter does four things: records the facts, says what rule they break, sets out what must change and by when, and gives the employee a fair chance to respond. The generator builds the letter in that order — subject line with the warning level and issue, the facts with dates, the policy reference, earlier warnings (for second and final warnings), the expected improvement and review period, the consequence of no improvement, the employee's right to reply in writing, and an acknowledgement-of-receipt line. A final warning states that a further breach may lead to termination under the employment contract, the company's disciplinary rules and the country's labour law — without quoting penalties the law doesn't set.

  • Stick to facts you can prove: dates, times, records, emails. Leave out opinions about the person.
  • Follow your company's approved disciplinary rules, and treat similar cases the same way.

The labour laws don't set a fixed number of warnings for most issues; what matters is that the company follows its own approved disciplinary rules and that the termination is justified and documented. Many GCC employers use a first written, second written and final written warning for repeated issues. Serious misconduct can skip steps, but that needs legal advice.

Does the employee have to sign the warning letter?

Ask them to sign to acknowledge receipt only — signing doesn't mean they agree. If they refuse, note the date, time and a witness on your copy, or send it by email as well. The letter tells them they can reply in writing, and that reply goes on their file.

What's the difference between a show cause notice and a warning letter?

A show cause notice asks the employee to explain an incident before any decision is made. A warning letter is the decision: it records the issue and sets expectations. For anything disputed, send a show cause notice first, consider the reply, then issue a warning if it's still justified.

Can I write the warning letter in Arabic?

Yes — choose Arabic or Both. If the employee is more comfortable in Arabic, or the matter may reach MOHRE or HRSD, a bilingual letter avoids later disputes about what was understood. Details you type in English stay in English inside the Arabic letter, so type them in Arabic if you want a fully Arabic letter.

How long does a warning stay on an employee's file?

That depends on your disciplinary rules — many companies treat a written warning as 'live' for 6 to 12 months, after which it's no longer counted for escalation. Write the period into your policy so it's applied consistently.
