Overview Of The Role:

• The Sales Administrator is pivotal in providing comprehensive sales administration support within the Commercial Vehicles Sales sector. This role is instrumental in processing vehicle orders, coordinating deliveries, and ensuring compliance with documentation requirements. As the liaison between Sales, Finance, Logistics, and Customers, the Sales Administrator ensures that customer experiences are seamless and timelines are adhered to. Key to this role is maintaining transaction accuracy, supporting sales team efficiency, and contributing to achieving sales targets through organized and proactive administration.
What You Will Do:

Sales Order Processing

• Create and process vehicle sales orders in SAP/DMS.
• Verify customer documentation and ensure compliance with company policies and SOPs.
• Maintain accurate records of all transactions and customer files.
• Monitor order status and follow up until vehicle delivery.

Documentation & Compliance

• Ensure all sales documents, approvals, LPOs, financing paperwork, and registration documents are complete and accurate.
• Coordinate with Finance and Compliance teams to ensure smooth transaction processing.
• Maintain audit-ready documentation for all vehicle sales.

Vehicle Delivery Coordination

• Coordinate with PDI, Logistics, Body Builders, and Registration teams to ensure timely vehicle readiness.
• Track chassis allocation, vehicle preparation, and delivery schedules.
• Support timely invoicing and vehicle handover processes.

Customer and Sales Support

• Provide administrative support to Sales Consultants and Sales Managers.
• Prepare quotations, proposals, customer correspondence, and sales reports.
• Address customer inquiries regarding order status, delivery timelines, and documentation requirements.

Reporting & Data Management

• Prepare daily, weekly, and monthly sales performance reports.
• Maintain sales dashboards, pipeline reports, and order tracking reports.
• Ensure accuracy of sales data and management reports.

Internal Coordination

• Liaise with internal stakeholders including Finance, Logistics, PDI, Registration, Insurance, and Body Builders/Fabricators.
• Escalate issues impacting vehicle delivery or customer satisfaction.

Process Improvement

• Support continuous improvement initiatives within sales operations.
• Identify opportunities to improve processing time, documentation accuracy, and customer experience.

• Strong Microsoft Excel and PowerPoint skills.
• SAP / ERP system knowledge.

• Effective communication and coordination skills.
What Qualifies You For The Role:

• Diploma or Bachelor's Degree in Business Administration, Sales, Marketing, or related field.
• 3-5 years of experience in Sales Administration, Automotive Sales Support, or Commercial Vehicles operations.
• Experience with trucks, buses, vans, or fleet sales is preferred.
• Proficiency in SAP or automotive DMS systems is highly desirable.
