Product Project Management Specialist

Summary: We are looking for a highly organized and proactive PPM Specialist to support the execution of our fast-paced product launches. Based within the PPM department, this role plays a key coordination function across multiple teams by supporting timelines, tracking deliverables, facilitating communication, and ensuring projects move smoothly through the different development phases.

Working closely with the PPM Assistant Manager and cross-functional stakeholders, the PPMSpecialistwill help manage daily project activities from concept through launch, while ensuring accurate follow-up, visibility, and alignment across teams. This role is ideal for a detail-oriented and collaborative individual looking to grow within project management and product launch coordination in the beauty industry.

Essential Duties and Responsibilities:

Project Coordination & Execution

• Support the day-to-day coordination of new product launches across assigned categories, ensuring timelines and deliverables are tracked accurately
• Maintain and update project timelines in Asana, Huda Beauty’s internal project management software, ensuring tasks, milestones, and dependencies remain current
• Follow up with internal teams and external suppliers to collect updates and ensure actions are completed on time
• Assist in coordinating projects through the defined PPM phases (Exploration, Development, Execution) following Huda Beauty’s standardized processes
• Support launch feasibility assessments and project planning activities by gathering required information and timelines
• Coordinate internal meetings, prepare agendas, capture meeting minutes, and track action items through completion
• Monitor project progress and proactively flag delays, risks, or missing information to the Line Manager
• Proactively identify challenges or delays within projects and suggest possible solutions or next steps to the Line Manager for guidance and decision-makingCross-Functional & Supplier Coordination

• Coordinate with cross-functional teams including Product Development, Packaging, Quality, Purchasing, Regulatory, Finance, Design, Marketing, S&OP, Master Data, Logistics, and Regional Markets
• Support communication with suppliers and contract manufacturers to help ensure timelines and deliverables are respected
• Assist in gathering and organizing critical project information including BOMs, specifications, forecasts, production timelines, and shipping updates
• Work closely with Demand Planning and S&OP teams to support forecast tracking and purchase order coordination
• Help ensure project documentation and trackers are maintained accurately and consistently across platformsReporting, Documentation & Communication

• Prepare project updates, reports, presentations, and status summaries for internal stakeholders
• Support the preparation of launch review materials and leadership updates
• Track project risks, changes, and action items and ensure proper follow-up and documentation
• Respond to day-to-day project queries from internal and external stakeholders in a timely and professional manner
• Create clear and concise communication materials and emails with guidance from the Line Manager when requiredProcess Improvement & Operational Support

• Support the team in standardizing processes, templates, trackers, and documentation
• Assist in maintaining SOPs and documenting updated ways of working
• Contribute to process improvement and automation initiatives by identifying inefficiencies and proposing solutions
• Participate in postmortem launch reviews and help capture learnings and improvement opportunities
• Provide operational and administrative support to the broader PPM team as needed

• 3-5 years of experience in project coordination, operations, supply chain, product development, or related fields, preferably within beauty, FMCG, or a fast-paced environment
• Bachelor’s degree in Project Management, Operations Management, Business Administration, Industrial / Manufacturing / Chemical Engineering, or related fields
• Strong organizational and time management skills with high attention to detail
• Ability to manage multiple priorities and work in a fast-paced environment
• Strong communication and collaboration skills with a team-oriented mindset
• Comfortable coordinating across multiple stakeholders and functions
• Proactive and solutions-oriented approach with willingness to learn and grow
• Working knowledge of Microsoft Office tools, particularly Excel and PowerPoint
• Comfortable using project management systems, ideally similar to Asana
• Fluent in English
