Job Purpose
The Sales Coordinator plays a critical role in supporting the branch sales team by managing customer enquiries, processing sales orders, and coordinating vehicle deliveries. The role ensures a seamless and efficient sales process by acting as a key liaison between customers, dealerships, and internal departments. The Sales Coordinator is responsible for maintaining accurate records, ensuring compliance with company policies and procedures, and delivering a high standard of customer service to branch clients.
Job Responsibilities
• Act as a liaison between customers and Sales Consultants to ensure smooth and efficient sales operations, including reservation creation and confirmation, order booking, and delivery coordination, thereby contributing to the achievement of sales targets.
• Serve as the primary point of contact for customer support via telephone, email, and face-to-face interactions while Sales Consultants are in the market.
• Coordinate with the Traffic Department regarding customer registration, fine clearance, mortgage release, and other related processes.
• Verify relevant sales documentation, including customs certificates and VIN details, prior to communicating with customers.
• Prepare, review, and maintain supporting documentation for invoicing, ensuring proper filing and record management.
• Allocate leads and enquiries to the sales team, ensuring timely consolidation and submission of customer registration requests.
• Provide onboarding support to new joiners in coordination with the GHRD and GIT departments (e.g. Windows access, Keyloop, Oracle responsibilities, etc.).
• Uphold the highest standards of professionalism and ethical conduct, handling confidential and sensitive information with discretion.
Measurement & Performance
• Support the achievement of Branch Sales objectives by ensuring all sales coordination activities are completed on time and in full compliance with company policies.
• Maintain punctuality, discipline, and adherence to attendance standards.
Administration
• Generate and submit management reports, including daily invoicing, weekly sales forecasts, and target/model mix achievement reports.
• Assist the Manager with market intelligence, competitor quotation analysis, logistics coordination, and order management.
Finance & Risk Management
• Ensure timely submission of bank-related documentation.
• Maintain proper control and copies of customs documents and traffic letters for the assigned team.
• Verify cheque clearance prior to releasing customer registration documents, processing vehicle registration, and arranging vehicle delivery.
Process Compliance Role
• Ensure full compliance with ISO standards, Standard Operating Procedures (SOPs), and Group Internal Audit (GIA) requirements.
• Adhere to company policies and applicable industry regulations to maintain operational integrity.
• Support internal and external audits and implement corrective actions as required to uphold compliance standards.
Educational Qualification
• Graduate or Diploma holder with strong IT proficiency.
Work Experience
• Minimum of 2 years’ experience in sales coordination or a related role.
Competencies
• Strong communication and interpersonal skills.
• Proficiency in Microsoft Office, CRM systems, and other sales-related software.
• Ability to multitask, prioritise, and perform effectively in a fast-paced environment.
• Knowledge of branch sales processes and vehicle leasing is an advantage.
• Flexibility to work according to business requirements.
Languages
• English is mandatory; Arabic is an added advantage.
