Supervisor, Store (Domestic)

Job Purpose

To organize and supervise the activities carried out in the Lube Stores, covering the receipt, issue, storage and stock control of all finish products, imported lubricants, Specialty Products and Non-blendable Products. Duties include supervising subordinates and organizing the required distribution of manpower and equipment, following up with suppliers to ensure that orders are received on time, inspecting the quantity of all deliveries and dealing with breakages or shortages, and organizing regular stock checks. To plan and supervise export activities of lube & Grease stores to ensure smooth and timely receipt, storage and delivery of products to export customers. Prepares and maintains all documentation pertaining to ISO9001 Quality Assurance in Lube Stores. Ensures that the Stores runs smoothly and efficiently, materials are stored correctly, and that safety and housekeeping regulations are adhered to.

Job Specific Accountabilities

• Supervises the duties carried out by subordinates within the Lube Stores finish product, covering the receipt, storage and issuing of finished products.
• Plans, organizes and supervises the daily activities related to receipts, storage and issue of various lube, grease, ADNOC Blue and Specialty products for all local sales deliveries.
• Follows up with all Toll blending partners and shares the Priority updates and follows with Logistics service provider and for the product collection.
• Conduct weekly meetings with all Toll blending partners and discuss with Team leader Stores pertaining to Product availability.
• Follows up with the Local Sales outstanding orders and organizes the Plan for deliveries by ensuring proper planning ensures that each expected delivery is prepared for in terms of manpower and equipment.
• Coordinate with the domestic customer and distributor to facilitate the customer on deliveries.

• Follow up with the retail team and make sure that all Stock transfer orders are fulfilled on time in order to avoid any out-of-stock situations.
• Regularly organize with the 3rd party to make sure that all loading and offloading operations are carried out smoothly.
• Organizes and oversee the daily distribution of Manpower and allocate Vehicles as per the days Plan.
• Organizes and oversees the unloading of consignments from containers and trucks and arranges for the correct storing of the goods with regards to temperature and shade.
• Deals with any breakages or shortages in deliveries by preparing inspection notes detailing the problem. Organizes an insurance survey to be done and for the damage to be inspected, and provides copies of all relevant documentation, to enable a claim to be made for the damage.
• Supervises and oversees the weekly, fortnightly and monthly physical stock check of finished products.
• Develops weekly delivery schedules for all local sales orders as per requirements and in coordination with Domestic Lube Sales.
• Assignees duties and directs all Domestic Dispatch staff in execution of daily receipt, storage, loading and delivery activities.
• Organize deliveries and after endorsement of the customer supports to close all the orders in the system
• Ensure storage and issue of various Lube and Grease products on first in first out (FIFO) basis.
• Organizes stock of Sales Promotion items for domestic customers and ensures their delivery as per instructions from Domestic Sales Department.
• Ensures that materials preservation plan is properly implemented by subordinates for the storage and protection of all finished stock.
• Organizing the return stocks of Finished Products from Customers as per the approved ISO Procedures.
• Responsible for the arrangement of Finished Products in different types of trucks as per delivery plan.
• Coordinate with 3 P warehouse for transfer of products as and when required to optimize the Storage space at all warehouses.
• Maintain cycle counts and arrange for repacking with the Plant team.
• Responsible for all contract services such as 3P warehouse and Logistics requirement for Toll blending operations
• Responsible for stock replenishment at other company depots i.e. Sharjah.
• Responsible for coordination and distribution to all the Marine Sea Ports for the new Marine business.
• Ensure housekeeping of Lube Stores in collaboration with Outsourced service provider.

Job Specific Accountabilities2

Inventory Control and Supply Management

• Monitors and controls stocks. Initiates and supervises monthly physical stock take of finished good stocks and crosschecks against computerized store records. Develops and agrees with plant management and Business Support improved stock control procedures.
• Ensures regular and timely replenishment of stocks of various lube and Grease products in coordination with Lubricant Operation and Toll Blenders.
• Monitor the Slow-moving inventory or Non-moving inventory and follow up with Sales team in order to deplete the Stocks.
• Collaborate and make the necessary action as a part of inventory stock taking.

Other

• Responsible for coordinating with HSE, instructing and training Dispatch Foreman, Store Operators, Forklift Operators, Labourers & ensuring that job is carried out in the safest way with the least risk possible.

Minimum Qualification

• Diploma in Electrical/ Mechanical /Chemical or any other relevant discipline
(OR)
• High School certificate with 7 years of experience

Minimum Experience, Knowledge & Skills

• 5 years of related experience with at least 02 years in supervisory level.
• Good knowledge in Inventory Applications (MAXIMO, ORACLE, SAP etc.)
• Good supervisory and delegation skills
• Good knowledge of written and spoken English and Arabic
