Purpose of the Role: This position is designed to provide comprehensive support to the Head of Middle East & Africa and team, with flexibility to assist broader teams based on business needs. The role ensures seamless operational, sales, and administrative support. The successful candidate will help drive efficiency, facilitate client service, and support broader business objectives across the region.
Key Responsibilities:
Admin Assistant Tasks:
• Travel Management: Arrange and support travel for MEA team, visitors and roadshows, including flights, visas, hotels, and cars; manage logistics and multi-city travel itineraries.
• General Administration: Handle calendar management, expenses, meeting scheduling, agenda creation, minute taking, and reporting; maintain databases and shared sites.
• Marketing Materials: Assist in preparing, distributing, and tracking marketing collateral.
• Event Organization: Plan and coordinate internal and external events, conferences including logistics, agendas, material production, and liaising with participants and vendors.
• Office Support: Provide support for office management tasks, coordinate with lease agencies and vendors, and act as a central point for local office needs.Sales Support Tasks:
• Salesforce Management: Maintain and update client records, manage pipeline and opportunities, and support sales and marketing campaigns.
• Presentation Requests & Compliance: Use internal systems such as Ad master & Seismic to coordinate requests and ensure timely delivery of materials and information to internal stakeholders and clients.
• Reporting: Assist in compiling and submitting reporting requests to Global Client Investment Reporting Team.
• Meeting Preparation & Follow-Up: Assist with preparing for meetings, drafting follow-up correspondence, and gathering client requests for fund/strategy materials, Due Diligence Questionnaires, Request For Information (RFIs) and Request For Proposals (RFPs).
• Support Marketing Activities: Help draft client communications, mailings, and support marketing events in coordination with the Global Marketing team.Qualifications & Skills:
• 2 years of relevant work experience in admin, travel management and sales support
• Experience with Salesforce, Concur, and other internal systems
• Strong organizational, communication, and multitasking skills
• Ability to work in a fast-paced, moderately complex and international environment
• Attention to detail and proactive problem-solving
• Middle East work experience preferred; fluency in English requiredPersonal Attributes:

Requirements
- •Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
- •Experience with Salesforce or similar CRM systems
- •Excellent calendar management and scheduling skills
- •Ability to arrange and support international travel logistics
- •Experience in event planning and coordination
- •Strong administrative and organizational skills
