Role Purpose
To support the customer services and property management teams in the delivery of exceptional services to properties. The role is involved with day-to-day property operations, tenant relations and customer service through the coordination of requests and administration of property services whilst collaborating closely with the facilitates management department and its functional teams.
Key Accountabilities
• Implement onsite documentations such as property operational plans, tenant handbook, fit out guides and other process-oriented forms and checklists etc.
• Coordinate the provision of traffic management plans including valet and parking for tenants and visitors and coordinate requests for additional parking spaces and access cards.
• Implement and follow processes and procedures, ensure version control is managed accurately and manage the coordination of the data management system.
• Ensure insurance claims are coordinated accurately between tenant and landlord brokers and oversee the quotation and information request and collation.
• Responsible for the tenant move-in and move-out process including the supervision of unit preparation and the effective and efficient coordination though lease signing and fit-out processes.
• Assist tenants and respond to all requests in a timely manner to ensure customer expectations are met and consistently seek opportunities to exceed expectations.
• Interpret landlord and tenant lease obligations to ensure that both parties meet their contractual requirements which avoids disputes and enhances the customer experience.
• Responsible for operating and updating the tenant management system which automates tasks and workflows to facilitate tenant queries and requests.
• Work closely with the marketing team to ensure events are managed at property level in coordination with the necessary authorities, security and FM teams.
• Oversee the approval and administration for requests related to tenants’ demise events such as a photography and filming.
• Collaborate with the customer services team in providing up-to-date information for Osool Care to enable their team to provide excellent contact centre services based on the requirements of the tenants.
• Implement communications protocols effectively, and regular review agreed processes to manage customer expectations and facilitate the highest levels of satisfaction.
• Has a track record of tenant liaison, forming relationships and providing advice related to operations
• Develops and maintains positive and client-focused relationshipsRequirements
• bachelor’s degree
• Graduate with Minimum 4 Years of Experience
• Arabic – Fluent proficiency
• English – Fluent proficiency
