As an Admin staff member for ADG KSA at Driven Properties, you will provide essential support to the Property Manager by
handling administrative tasks, tenant enquiries, and property documentation. Your role is key to ensuring efficient property
operations, assisting with paperwork, and delivering excellent service to both tenants and property owners
Key Responsibilities
• Tenant Assistance: Provide support to tenants with queries related to maintenance, parking, contracts, cheques and other
property services.
• Handling Enquiries: Respond to tenant and property owner queries regarding parking, maintenance, renewals, and other issues,
ensuring timely and professional communication.
• Third-Party Liaison: Coordinate with Ejar for tenancy contract registration and follow up with the Saudi Electricity Company
(SEC), National Water Company (NWC), and any local district-cooling provider (such as Saudi Tabreed) to arrange and confirm all
utility connections.
• Updating Trackers: Maintain accurate records of property details, tenant information, lease agreements, and renewals.
• Renewals: Draft and send renewal notices within 100 days of expiry, complete process within 30 days of expiry
• Database Management: Enter new properties into CRM, reconcile CRM with contract details, master sheets and payment
details
• Maintenance and Inspection: Receive and record requests.
• Reports: Prepare weekly reports for property portfolio
• Lease Drafting: Assist in the preparation and review of lease agreements and relevant documentation.
• Checklists and Documentation: Prepare checklists for property inspections, move-ins, and move-outs to ensure compliance with
company standards.
• Property Manager Support: Assist the Property Manager with any additional tasks required for property management, including
coordination with contractors and suppliers
Requirements
Required
• Experience in administrative roles, ideally within the property management or real estate industry.
• Proficiency in Microsoft applications (Excel, Word, Outlook) and database management.
• Strong organizational skills and attention to detail.
Preferred
• Familiarity with property management software, preferably Yardi
• Previous experience handling tenant enquiries and property documentationSkills and Competencies
• Strong communication skills to effectively respond to tenant and owner inquiries.
• Attention to detail when updating records, preparing documents, and managing lease renewals.
• Time management skills to handle multiple tasks and meet deadlines.
