Why this role matters
Our People team is growing fast, and so is the complexity behind it, more hires, more contracts, more government portals, more payroll dependencies, and more systems that need to “just work” together.
Right now, a lot of our HR operations still rely on manual tracking, spreadsheets, and fragmented system processes. That works at a small scale, but it becomes a risk (and a bottleneck) as we grow.
This role exists to fix that.
You will own the systems, automation, and data cleanliness across our People stack - making sure onboarding, payroll, contracts, and employee data flow smoothly across tools like ZenHR and other internal platforms. More importantly, you’ll turn messy processes into structured, scalable systems that reduce human error and free the team to focus on people, not admin work.
What You’ll Do
You won’t just “manage HR systems” - you’ll build the backbone of how People operations run at Lucidya.
You will:
• Own and improve our core HR systems (e.g. ZenHR and related government portals), ensuring they are accurate, clean, and always up to date
• Drive automation across People operations, reducing manual work in contracts, onboarding, payroll inputs, and employee records
• Make sure onboarding is seamless end-to-end, from contract creation to system access and first-day readiness
• Work closely with People Ops, HR Business Partners, Talent Acquisition, and Finance to ensure data consistency across all workflows
• Monitor payroll inputs and flag inconsistencies early, especially around compensation structures and benefits configurations
• Maintain and improve government portal processes to ensure compliance and accuracy for employee documentation
• Own data integrity across all HR systems (no duplicate records, no broken workflows, no “we’ll fix it later” data debt)
• Build and maintain simple documentation and user guides so the wider People team can confidently use the systems
• Continuously identify gaps in workflows and propose better, faster, more scalable ways of working
• Support reporting needs by ensuring systems can reliably produce accurate HR and People metrics
What Success Looks Like (KPIs)
In your role, success is measured by how “invisible” problems become.
You’ll be successful when:
• Onboarding is consistently smooth, with contracts and system access ready before employees join
• Payroll errors linked to system data are reduced to near zero
• HR systems are consistently accurate, with minimal manual corrections required
• Government portal processes are clean, up to date, and compliant at all times
• People Ops and HRBPs rely on systems data without needing manual validation
• Automation replaces manual spreadsheet-driven processes wherever possible
• Internal stakeholders report high confidence in HR data quality
• System-related issues are identified and resolved quickly with minimal escalationRequirements
Who You Are
You’re someone who naturally brings order to chaos.
You don’t just “use systems” - you understand how they should work together, and you notice when something doesn’t feel right in the data, even if no one has flagged it yet.
You likely:
• Have 3-5+ years of experience in HRIS, HR Operations, or People Systems roles (experience with implementation or system management is a strong advantage)
• Have worked with HR platforms like ZenHR, SAP, Oracle, ADP, or similar systems
• Understand the basics of compensation structures and can spot when data doesn’t logically add up
• Are comfortable working with government portals and structured compliance workflows (or can quickly adapt to them)
• Are highly detail-oriented, you don’t let broken data or inconsistent records slip through
• Are strong with systems thinking and enjoy simplifying complex workflows
• Can work comfortably in environments where not everything is fully automated yet, and improve it as you go
• Communicate clearly across teams and are comfortable working with People Ops, Finance, and HR leadership
• Are organized, structured, and naturally deadline-driven
• Bring a practical, no-nonsense approach, you care about what works, not just what looks good on paperYou’re also someone who enjoys building things properly, not temporarily patching them.
