This role is integral to supporting our executive leadership by managing schedules, coordinating communications, and ensuring the smooth operation of daily administrative tasks. The ideal candidate will have exceptional multitasking abilities, excellent communication skills, and a strong attention to detail. As an Executive Secretary at Aofgroup, you will work closely with senior management to facilitate efficient workflow and contribute to the overall success of the company. You will handle confidential information with discretion, act as a liaison between executives and internal or external stakeholders, and help prepare reports and presentations. This position requires the ability to anticipate needs, prioritize tasks efficiently, and maintain a professional demeanor at all times. Responsibilities

  • Manage and organize the executive's schedule, including appointments, meetings, and travel arrangements.
  • Screen and prioritize incoming calls, emails, and correspondence, responding or redirecting as appropriate.
  • Prepare and edit documents, reports, presentations, and communications on behalf of the executive team.
  • Coordinate and organize meetings, events, and conferences, ensuring all logistics are handled efficiently.
  • Maintain confidential records and files with a high level of discretion and professionalism.
  • Act as a liaison between the executive office, internal departments, and external partners or clients.
  • Assist in the preparation and follow-up of board meetings and executive committees, including minutes and action items.
  • Support special projects and initiatives as assigned by the executive management.Requirements
  • Proven experience as an executive secretary or administrative assistant, preferably in the Food & Beverages industry.
  • Exceptional organizational and time-management skills with the ability to multitask effectively in a fast-paced environment.
  • Strong written and verbal communication skills in English; additional languages are a plus.
  • Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook) and common office management software.
  • Discretion and confidentiality in handling sensitive information.
  • Ability to work independently and as part of a team with a proactive approach to problem-solving.
  • High school diploma required; additional certification or degree in office administration or related field is preferred.
  • Flexible and adaptable to changing priorities and schedules.
