JOB PURPOSE:
Support trainees’ emotional, academic, and social well-being through counseling and wellness initiatives. Provide individual and group support, lead life skills sessions, monitor performance and behavior, and collaborate with stakeholders to guide at-risk trainees and prevent dropouts during both on-campus and OJT phases.
KEY ACCOUNTABILITIES:
Job Specific:
1 1. Trainee Counseling & Support
- Provide personalized counseling and support plans for trainees.
- Conduct regular check-ins and site visits, including OJT locations.
- Follow up on disciplinary cases and support rehabilitation efforts.
- Respond promptly to trainee concerns via various channels.
2. Wellbeing & Mental Health
• Deliver wellbeing programs and awareness campaigns.
• Create safe spaces for open dialogue and refer high-risk cases as needed.

- Track trainee data via TIS and identify concerns.
- Collaborate with staff on early interventions and disciplinary actions.
- Complete and submit DC documentation and support follow-ups.

- Conduct life skills and orientation sessions aligned with trainee needs.
- Promote understanding of ATA policies and values.
5. Parent & Stakeholder Engagement
- Communicate with guardians and develop joint action plans for trainee success.
6. Coordination & Case Management
- Work with departments to resolve trainee challenges.
- Maintain confidential records and respond to requests promptly.
7. Leadership & Council Support
- Mentor Trainee Council members and support their initiatives.
Institutional Participation
- Represent counseling in academy events and strategic initiatives.
9. Reporting & Improvement
- Generate reports and analyze outcomes to enhance services.

1 1. Trainee Counseling & Support (In-Campus & OJT)
- Provide individualized counseling for assigned trainees to support their emotional, behavioral, social, and academic needs.
- Conduct regular check-ins and site visits to OJT trainees to ensure their well-being, adjustment, and access to support.
- Set structured support plans for trainees who receive final warnings related to attendance, behavior, or performance.
- Follow up on cases before and after disciplinary committee (DC) decisions and create personalized improvement plans.
- Conduct counseling sessions at OJT sites and on campus to support trainees unable to access ATA premises easily.
- Respond to trainee concerns promptly via scheduled appointments, walk-ins, or digital communication.
2. Wellbeing & Mental Health Initiatives
- Plan and deliver wellbeing programs both on campus and at OJT sites to promote resilience, stress management, and overall mental health.
- Organize awareness campaigns focused on personal safety, emotional intelligence, and positive behavior.
- Create safe, confidential environments that foster open conversations and trust between counselors and trainees.
- Refer high-risk cases to specialized professionals when needed and ensure continued follow-up.
3. Disciplinary & Performance Monitoring
- Monitor trainee data using the Trainee Information System (TIS) to identify performance drops, attendance concerns, or behavioral patterns.
- Collaborate with officers and academic staff to intervene early in cases of risk or policy violations.
- Fill in DC forms and termination reports with full information and submit them on time, based on observations and case history.
- Provide counseling input for DC cases and contribute to decision-making discussions when required.
- Follow up on disciplinary decisions and support trainees in meeting any conditions or rehabilitation plans imposed.
4. Educational & Personal Development Sessions
- Deliver Life Skills sessions that cover a range of topics including soft skills, mental health, emotional intelligence, communication, conflict resolution, and time management.
- Ensure life skills sessions are aligned with trainees' personal development needs and institutional goals.
- Conduct orientation and awareness sessions on ATA’s policies and expectations.
- Encourage trainee acknowledgment and understanding of code of conduct and institutional values.
5. Parent & Stakeholder Communication
- Communicate with trainee guardians to inform and involve them in issues related to well-being, attendance, and behavior.
- Work with parents on action plans to help their children succeed emotionally and academically.
6. Coordination & Case Management
- Coordinate with Student Services Officers, academic teams, and other departments to ensure a holistic support system for each trainee.
- Collaborate with relevant departments to resolve academic, financial, disciplinary, or logistic challenges faced by trainees.
- Maintain secure and confidential documentation of all counseling sessions, referrals, and follow-up actions.
- Respond to internal and external emails promptly and act on requests and instructions without delay.
7. Trainee Council & Leadership Development
- Guide and mentor members of the Trainee Council to enhance leadership, teamwork, and initiative.
- Support the planning and facilitation of Trainee Council activities and ensure alignment with academy values and trainee interests.
8. Institutional Events & Initiatives
- Participate in academy-wide initiatives, exhibitions, and outreach activities to represent the counseling function and promote ATA.
- Support academy registration drives, induction programs, open days, and national events.
- Align counseling activities with ATA’s strategic goals and contribute to cross-functional improvement projects.
9. Reporting & Continuous Improvement
- Generate regular reports on counseling trends, trainee needs, wellbeing activities, and intervention outcomes.
- Analyze counseling outcomes to suggest improvements to institutional services or intervention models.
- Share best practices with team members to enhance consistency and impact of counseling efforts.
COMMUNICATION & WORKING RELATIONSHIP:
Internal:
Frequent contact with trainees and academic teams regarding counseling, discipline, and related matters. Collaborate closely with administrative officers and coordinate student information dissemination while adhering to confidentiality policies.
External:
Regular contact with guardians/parents to discuss well-being, attendance, and behavior-related matters. Foster trust and open communication with external stakeholders to support student development.Regular contacts with students’ guardians/parents for investigating and counseling-related matters.
QUALIFICATIONS, EXPERIENCE, KNOWLEDGE & SKILLS:
Minimum Qualification
B.A. in Psychology, Social Science, or equivalent.
Minimum Experience & Knowledge & Skills
8 years of experience in counseling, with preferably 5 years in a vocational training center related to the oil/gas industry.
